Coordination services
Two pillars of work, coordinated through one relationship.
Structuring
When your situation requires specialist legal, tax or regulatory input, we develop proposals and coordinate the work with the relevant professionals.
Coordination
A single point of contact across your family's advisers, keeping track of decisions, responsibilities and next steps.
Coordination through Elian Partners. Specialist services through the appropriate providers.
Elian Partners organises information about your affairs, analyses ownership and financial structures, and coordinates the specialists involved in the agreed work.
Personalised investment recommendations, portfolio management and brokerage are supplied separately by the appropriate authorised providers under their own agreements. Legal and tax opinions remain the responsibility of the specialists who provide them.
Where a founder participates in delivering regulated investment services, they do so in their capacity at the authorised entity, separately from the Elian Partners mandate.
Cross-border structuring
Your holding companies, operating businesses and family members may be based in different countries. We review the existing structure and your objectives, then brief legal and tax specialists in the relevant jurisdictions. We coordinate their work on the available options and the steps needed to implement the structure you choose.
What the mandate typically includes
- Coordination of jurisdictional analysis and DTT mapping with a structuring partner
- Selection and briefing of structuring counsel across EU jurisdictions, including Luxembourg vehicles such as SOPARFI, SICAV, and securitisation entities
- Coordination of local tax optimisation and transfer-pricing work with qualified advisers
- Notary, corporate lawyer, and local director coordination across jurisdictions
- Coordinate the information and outstanding actions requested by legal and tax advisers for their analysis of substance requirements and relevant anti-avoidance rules, including ATAD and BEPS measures where applicable. Those advisers provide the professional conclusions.
How it works
A complete cross-border asset and structure inventory across all relevant jurisdictions.
Written structuring options, with legal and tax implications assessed by the relevant specialists.
Coordination with local professionals in each jurisdiction to execute the chosen strategy.
Regulatory documentation coordination
Opening an account or setting up a fund involves questions about client classification, structure and documentation. We organise the information needed by brokers, custodians and fund administrators, and coordinate the outstanding requirements with them. Regulatory assessments remain with the authorised entities involved, with legal advice provided by qualified counsel.
What the mandate typically includes
- Organise information requested for client classification and suitability assessments. The authorised provider performs those assessments.
- Coordinate documents, deadlines and outstanding actions for fund-regulation and EU passporting projects. The fund manager determines the applicable requirements with its legal advisers and handles the relevant procedures.
- Assemble questions about the proposed structure for assessment by the appropriate authorised provider and legal specialists.
- Track KYC and AML document requests. The responsible provider conducts its checks and decides whether its requirements have been met.
- Coordinate administrative correspondence with brokers, custodians and fund administrators.
How it works
We organise your information for assessment by the relevant authorised entities and legal specialists.
Organise the documents requested by the provider and identify missing information for its review.
Track agreed actions and requests communicated by the responsible providers and advisers.
Brokerage and custody administration support
We help organise the documents and administrative correspondence needed for your relationship with a broker or custodian. You send order instructions directly to the authorised provider. That provider handles orders, execution and settlement under its own procedures and issues the relevant confirmations.
Administrative assistance
- Organise account-opening documents requested by the provider and track outstanding items.
- Arrange administrative discussions and record requests for clarification.
- Help obtain the provider's fee disclosures and identify unanswered cost questions for the provider to address.
- Follow up on access to statements, corporate-action notices and post-trade records issued by the provider.
How it works
Agree the documents, correspondence and follow-up included in our mandate.
You agree the provider's services and costs directly with it. We track outstanding administrative requirements.
We help obtain missing records and direct administrative questions to the provider. We do not receive or transmit investment orders, confirm execution or settlement, or administer assets in custody.
Family office coordination
When several advisers handle different parts of your financial affairs, a decision taken with one may need input from another. We coordinate communication between your banker, lawyer, accountant and other advisers. We keep track of responsibilities and outstanding actions, and review fees across these relationships.
What we do
- Bring together information on your assets, liabilities, advisers, banking, insurance and real estate
- Identify gaps, overlaps, and conflicting advice across your existing professionals
- Serve as your single point of contact for all financial coordination matters
- Monitor and benchmark fees across your service providers
- Coordinate meetings between your advisers when their work intersects
- Produce a consolidated wealth overview, updated quarterly
- Facilitate introductions to vetted professionals where gaps exist
How it works
We review your financial position and existing professional relationships.
A plan with action items and recommended changes across your advisory team.
Quarterly reviews, with direct coordinator access on WhatsApp and email in between.
Governance & succession
A succession plan needs to establish who will own the assets and who will make decisions about them. We help your family discuss these questions and organise the work with lawyers and notaries.
What we do
- Facilitation of Family Charter development covering roles, responsibilities, values, and decision-making processes
- Organise the family's succession objectives and the questions for lawyers and notaries, who assess the applicable inheritance rules, including protected inheritance rights.
- Next-generation preparation through structured financial education programmes
- Family meeting facilitation with structured agendas and documented outcomes
- Document the family's proposed decision process and brief legal counsel on board arrangements, shareholder agreements and exit provisions. Counsel assesses and drafts the legal arrangements.
- Coordination with notaries and legal counsel for testament and donation structures
- Structures to resolve conflict before disputes escalate
How it works
Confidential interviews with key family members to understand dynamics, priorities, and concerns.
Draft governance framework and succession roadmap fitted to your family's situation.
Facilitated family meeting to adopt the charter, followed by annual governance reviews.
Due diligence & vetting
Before committing capital, you need reliable information about the parties and structures involved. We review corporate registers, regulatory filings and other primary documents, and identify questions requiring further investigation.
What we do
- Corporate registry and beneficial ownership verification across relevant jurisdictions
- Regulatory status confirmation with supervisory authorities (ASF, FCA, FINMA, and equivalent bodies)
- Management background checks and credential verification
- Fund structure analysis: legal structure, fee layers, liquidity terms, and comparison of performance claims with available source records
- Counterparty risk assessment for transaction partners
- Virtual office and shell company identification
- A written report separating confirmed facts, risk flags and missing information
How it works
We define the entity in question and the specific questions that need answering.
Timing is agreed after scoping and depends on the jurisdictions and records involved.
A written report separating confirmed facts, risk flags and missing information.
